Event Date: Saturday, August 1

Vendor Information & Requirements

1. Vendor Space Assignment

  • All vendor spaces will be assigned by event management prior to the event.

  • Vendors must operate only within their assigned space.

  • A vendor placement map will be provided before the event date.

  • Vendors are responsible for reviewing the vendor map and setup instructions prior to arrival.

  • Event organizers reserve the right to relocate vendors if necessary for safety, operational flow, or event needs.

2. Electricity Requirements

  • Vendors requiring electricity must provide their own quiet inverter generator or independent power source unless otherwise approved in writing by event management.

  • Access to venue power is extremely limited and is not guaranteed.

  • Generators must be in safe operating condition and comply with all local fire and safety regulations.

  • Excessively loud generators may not be permitted.

3. Water Access

  • Vendors are advised that there is only one shared water access point available on-site.

  • Vendors should arrive with sufficient water supply for their operational needs whenever possible.

  • Long hoses, splitters, or specialty hookups will not be provided by event management.

  • Vendors are responsible for maintaining cleanliness around the shared water area.

4. Setup & Breakdown

  • Vendors must arrive during designated setup hours.

  • Late arrivals may risk losing their assigned placement.

  • All vehicles must be removed from vendor areas before the event opens to the public.

  • Vendors may not begin breakdown or leave early without approval from event staff.

  • Vendors are responsible for leaving their area clean and free of trash, grease, and debris.

5. Licenses & Permits

  • Vendors are responsible for obtaining and displaying all required permits, licenses, seller’s permits, and health department approvals.

  • Food vendors must comply with all Sacramento County health regulations and fire safety requirements.

  • Vendors using cooking equipment must have appropriate fire extinguishers on-site.

6. Insurance & Liability

  • Vendors participate at their own risk.

  • Event organizers and venue management are not responsible for lost, stolen, or damaged items.

  • Vendors are responsible for any damage caused by their booth, staff, equipment, or generators.

  • Vendors are encouraged to carry general liability insurance.

7. Vendor Conduct

  • Vendors and staff must maintain professional and respectful behavior at all times.

  • Excessive noise, disruptive conduct, unsafe operations, or unauthorized sales outside assigned areas may result in removal from the event without refund.

  • No illegal substances or activities are permitted on event grounds.

Refund & Cancellation Policy

Vendor Refund Policy

  • All vendor payments and deposits are non-refundable unless the event itself is canceled by organizers.

  • Refunds will not be issued for:

    • Weather conditions

    • Low attendance

    • Equipment failure

    • Generator or power issues

    • Traffic delays

    • Personal emergencies

    • Failure to review vendor instructions or map assignments

    • Failure to comply with event rules

Cancellation by Vendor

  • If a vendor cancels for any reason, payments made will be forfeited.

  • Vendor spaces are reserved specifically for each approved vendor, and late cancellations negatively impact event operations.

Event Changes

  • Event management reserves the right to modify vendor placement, event hours, layout, or operational procedures when necessary for safety or logistical reasons.

  • Such changes do not qualify for refunds.

No-Show Vendors

  • Vendors who fail to arrive during setup hours without prior communication may forfeit their space without refund.

Vendor Map & Placement Information

  • A detailed vendor map and setup instructions will be emailed before the event.

  • Vendors are required to check the map carefully for:

    • Assigned booth location

    • Vehicle unloading zones

    • Generator placement guidelines

    • Shared water access location

    • Emergency access lanes

  • Vendors may not switch spaces without approval from event management.

  • Keeping aisles and emergency lanes clear is mandatory.

Additional Recommended Rules

Weather Preparedness

  • This is an outdoor event. Vendors should prepare for heat, wind, and changing weather conditions.

  • Tents, weights, extension cords, hoses, and coverings are the responsibility of each vendor.

Trash & Grease Disposal

  • Vendors are responsible for disposing of trash and grease properly.

  • Dumping grease, wastewater, or food waste onto the ground or into drains is strictly prohibited.

Booth Appearance

  • Vendors are expected to maintain clean, organized, and professional booth spaces throughout the event.

Safety Compliance

  • Extension cords must be secured to prevent tripping hazards.

  • Open flames and cooking equipment must follow fire safety standards.

Agreement

By submitting payment and participating in the event, vendors acknowledge that they have read, understood, and agreed to all event terms, policies, and operational requirements for the Capital City Foodie Fest.
